Cancellation Policy - Independent Child Supervision
The Cancellation Policy for Axia Therapy Services provides information regarding the service and fees incurred in the event of late cancellation, late rescheduling and/or missed appointments.
Axia Therapy Services understands that there are situations where a late cancellation cannot be avoided. In these circumstances, a late cancellation fee will not be incurred if the client reschedules the appointment.

The cancellation policy will be provided to the client at the time of booking an appointment. Once an appointment has been made, it will be taken that the client understands and agrees with the cancellation policy and fee structure.
Reason for charging a cancellation fee:
- It is very difficult to fill a psychotherapy appointment at short notice.
- Psychotherapy appointments are scheduled in advance and the time is reserved exclusively for the client.
Expectations of the client.
- The client is expected to attend each scheduled session on time.
- Should a client wish to cancel a scheduled appointment, it is preferred that they do so via email during business hours. As per the cancellation schedule, a fee will not be incurred if 72 hours notice is provided.
- Cancellations made from 5pm Friday and before 9am on Monday when the office is unattended will incur the full 100% fee.
Cancellation Schedule
If the client needs to cancel or reschedule their appointment, a minimum of three business days (72 hours) is required; otherwise, the client will incur a fee. Cancellation fees are calculated at the following rates:
72 hours | No Fee |
72 – 48 hours | 25% of full fee |
48 – 24 hours | 50% of full fee |
24 hours or fewer | 100% of full fee |
Cancellation fees are payable at the time of cancellation or will be invoiced. Further appointments will not be scheduled until all outstanding fees are paid.
Payment of services are due on the day the service is provided.
Please note that Medicare or health insurance rebates cannot be used to pay for cancellation fees.
An SMS reminder will be sent to the client 72 hours prior to the scheduled appointment. Ultimately however, it is the responsibility of the client to remember and attend their scheduled appointment.
Cancellation Requirements
In the event that an appointment is cancelled or rescheduled without 72 hours’ notice or missed altogether, the following requirements apply:
New client | The new client’s credit card details are required before the booked appointment and will be charged as per the Cancellation Policy. |
NDIS Client | Late cancellation fees will be charged at 100%, as per NDIS guidelines. |
